BEY Rentals Privacy Policy

Scope

This policy applies to information collected through beyrentals.com, including rental availability requests, contact messages, and List Your Car applications. It does not govern the privacy practices of websites or services that BEY does not control, even when we link to them.

Information you provide

A rental inquiry or contact message may include your name, email address, phone number, requested vehicle, requested dates, subject, message, delivery or handoff details, and other information you choose to provide. Sending an inquiry does not create a reservation or charge.

A List Your Car application may also include your partner type, company name, website, social-media handle, vehicle count, vehicle year, make, model, trim, mileage, colors and location, requested rental terms, delivery details, and availability notes. BEY reviews this information privately and does not automatically publish an applicant or vehicle.

The website does not request or process payment-card information. If a reservation moves forward, BEY will explain any separate payment process and applicable terms directly.

Information collected automatically

When you use the website, BEY and its service providers may receive your IP address, browser and device information, user agent, referring page, landing page, pages viewed, clicks, search and contact actions, approximate location derived from an IP address, and timestamps. We may also receive campaign and advertising identifiers contained in a link or browser, including gclid, gbraid, wbraid, msclkid, fbclid, fbc, fbp, and ttclid when they are present.

The site uses browser storage to remember saved vehicles, preserve inquiry attribution during a visit, and recover from certain loading errors. Hosting and security systems may create server logs and temporary duplicate-submission records needed to deliver the site, detect abuse, and troubleshoot failures.

How we use information

We use information to:

• respond to rental, support, and vehicle-listing requests;
• review dates, vehicle fit, driver eligibility, proposed terms, and partner applications;
• operate, secure, maintain, and improve the website and inquiry service;
• measure website use, campaign performance, and accepted inquiries;
• prevent duplicate submissions, spam, fraud, and misuse; and
• comply with law, enforce our terms, and protect BEY, our customers, and others.

Analytics, advertising, and cookies

BEY uses Google Analytics, Google signals, Google Ads, Microsoft Clarity, Meta, and OpenAI measurement services. These services help us understand website activity, attribute inquiries, measure advertising, create audiences, support remarketing, and improve page usability. They may use cookies, pixels, browser storage, IP addresses, device information, and other identifiers. Microsoft Clarity may record interactions such as clicks, scrolling, and page navigation; form fields are masked by its service.

When an inquiry is accepted, Google may receive a one-way hashed email address and phone number for enhanced conversion or event matching. Meta may receive one-way hashed email address, phone number, first and last name, and inquiry identifier. Meta may also receive your IP address, browser user agent, and valid fbc or fbp identifiers without hashing when available. OpenAI may receive one-way hashed email addresses and phone numbers, browser and click identifiers, your IP address, and browser user agent to match accepted inquiries to advertising. When enabled, its pixel may also detect supported customer information on the site and hash it in the browser for matching. BEY does not create missing customer details for advertising platforms.

Google analytics and advertising storage default to denied for visitors in the European Economic Area, United Kingdom, and Switzerland. Google may still receive limited cookieless measurement signals in those regions. Other providers apply their own consent and privacy controls.

You can block or delete cookies through your browser and use the privacy or advertising controls offered by Google, Microsoft, Meta, OpenAI, and other platforms. Blocking storage may reduce measurement accuracy or prevent saved-vehicle and session features from working as expected.

When we disclose information

We disclose information to vendors that help us host the website, deliver email, secure and maintain the service, measure website activity, and run advertising. These providers include our hosting and email services, Google, Microsoft, Meta, and OpenAI. Each provider processes information under its own terms and privacy commitments.

We may also disclose information when required by law; to respond to lawful requests; to investigate fraud, abuse, or security incidents; to protect legal rights or safety; or as part of a merger, financing, acquisition, reorganization, or sale of business assets. BEY does not sell personal information for money. Some analytics or advertising disclosures may be treated as targeted advertising, sharing, or a sale under certain privacy laws even when no money changes hands.

Retention

We keep inquiry, support, and vehicle-application information for as long as reasonably necessary to respond, evaluate the request, maintain business and legal records, resolve disputes, prevent abuse, and meet legal obligations. Retention varies with the record and its purpose. We delete or deidentify information when it is no longer needed, subject to legal requirements and limited backup or security-log cycles. Advertising and analytics providers apply their own retention schedules.

Your privacy choices and requests

Depending on where you live, you may have the right to request access to, correction of, deletion of, or a copy of personal information; to object to or restrict certain processing; to withdraw consent; or to opt out of targeted advertising, sharing, or sales as those terms are defined by applicable law.

Send a request to book@beyrentals.com with the subject "Privacy Request." Describe the request and provide enough information for us to locate the relevant record. We may ask for information needed to verify your identity or an authorized agent's authority. We will respond as required by applicable law and will not discriminate against you for exercising a privacy right.

Security

BEY uses administrative and technical safeguards intended to protect information, including transport encryption, server-side validation, rate limiting, duplicate-request controls, restricted administrative access, and one-way hashing for supported advertising identifiers. No internet service or storage method is completely secure, so we cannot guarantee absolute security.

Children

The website and rental service are not directed to children under 13, and BEY does not knowingly collect personal information from them. If you believe a child submitted personal information, contact us so we can review and delete it. Rental requests remain subject to BEY's published driver requirements.

International processing

BEY is based in the United States. Information may be processed in the United States and in other countries where our service providers operate. Privacy protections in those locations may differ from those in your home jurisdiction.

Changes to this policy

We may update this policy when our services, providers, or legal obligations change. The effective date at the top identifies the current version. Material changes will be posted on this page before or when they take effect, as appropriate.
